My guest is Megan Lockhart, Media Communications and Client Services Coordinator with Rancho Mesa. Today, we’re going to talk about utilizing QR codes in the SafetyOne™ mobile app. Megan, welcome to the show.

Megan Lockhart: Happy to be here, Alyssa.

AB: For listeners who are not familiar with QR codes, they’ve been around since the 1990s in industrial applications and slowly gained in popularity between 2011 and 2020 before their use exploded during COVID. So, Quick Response Codes or QR codes are the 2-dimensional barcodes consisting of black and white squares, typically used to store URLs or other information that can be read by the camera on a mobile device. They’re often used in restaurants to access a digital menu so patrons don’t have to type in a long URL into their mobile device’s internet browser. So Megan, how can Rancho Mesa’s clients utilize these QR Codes to streamline their operations in the SafetyOne™ app?

ML: So, there are two ways the SafetyOne™ App incorporates QR codes. First, mobile forms that are typically completed via the SafetyOne™ mobile app, can be accessed and completed using a QR code for those who may not have the mobile app on their smart phone or tablet. This can be useful in situations where you don’t issue company phones or tablets to all your field employees, but you need them to complete a survey, attendance sheet, accident form, etc. The form’s QR Code can be printed on signage at the entrance to a jobsite or outside a jobsite trailer – somewhere that employees can easily access when they need to complete the form.

AB: Can these QR codes only be used by employees in construction settings?

ML: No, the QR codes can be used in many industries and situations. For example, a school or nonprofit working with children can collect data from parents upon drop-off at the facility. The QR code can be posted on the front door, at the reception desk, or on a flyer that’s sent home. Parents scan the QR code, complete the form and they’re done. This is useful for fieldtrip permission slips, media release forms, and any other information that administration may need to collect from parents. And, parents don’t need to download the SafetyOne™ App on their device and they don’t need to be employees to complete the forms. They just need a QR code reader on their device, which is pretty standard software. Another example would be if you want people to attest that they are not sick upon entering your facility. Maybe you’re running a healthcare facility or home healthcare service company and you want all visitors to complete a form indicating they don’t have any COVID or flu-like symptoms. Again, place the QR Code at the entrance and ask visitors to complete the digital form.

AB: There are so many uses for the mobile form QR Codes. As more and more of our clients integrate the SafetyOne™ app into their overview safety programs and their operations, they’re coming up with some really innovative uses for these QR codes. Now earlier, you mentioned that there are two ways for us to use QR codes in the SafetyOne™ app – what’s the second way?

ML: Yeah, and this one’s really exciting. QR codes can be used to access employee training and certification history. Whether your employees are on the construction sites, in an office, or out in the community, being able to quickly and easily provide proof they’ve been trained on topics that are relevant to their jobs is a time saver.

AB: So, how does that work?

ML: Well, in the SafetyOne™ administrator website, when an employee is added to the platform, a unique QR code is automatically assigned. When the employee either completes an online training through the platform or a training record is uploaded by the administrator, their record becomes accessible via their QR code.

AB: So, how are you seeing your construction clients utilizing these QR Codes?

ML: Primarily, I’m seeing our construction clients print the employee’s QR code on a sticker and place it on their hardhat. So, when the employee, as a subcontractor, shows up to a jobsite, the General Contractor can confirm they’ve complete OSHA 10, CPR and any other required certifications, just by scanning their QR code.

AB: And, we’re seeing a lot of our human services clients include the QR codes on their employee badges. This would be important if their employees are working with patients who require staff with specialized training or if they’re working in large organizations where staff is restricted to various spaces based on their clearance levels. All of that information can be documented in the SafetyOne™ App and accessible via the individual employee’s QR code.
