Welcome back everyone. My guest is Brenda Khalil, Client Technology Coordinator with Rancho Mesa. Today, we’re going to discuss SafetyOne’s new custom mobile form confirmation emails.

Brenda, welcome to the show.

Brenda Khalil: Thanks Alyssa, happy to be here!

AB: Of course. So first, for listeners who are not familiar with SafetyOne, will you give us a brief overview of the application?

BK: Sure, So SafetyOne is Rancho Mesa’s proprietary safety and risk management mobile app and website platform.

It’s designed to streamline the implementation of an effective safety program within an organization through real-time data and intuitive technology.

It includes a learning management system for online safety trainings, toolbox talk content and management, along with risk observations, data collection and push notification capabilities.

It’s a really robust platform.

AB: I know! And, that’s why I’m excited that you’re able to share some of the new additions to the platform with our listeners.

So, tell us what’s been added in the recent update?

BK: So, one notable addition, like you mentioned earlier, is the ability to customize mobile form email confirmations.

Now, mobile forms are used to collect data either directly from the SafetyOne mobile app, or by third-parties who can access the form by scanning a QR code, or via a URL link.

These confirmation emails are sent to those third-parties who aren’t actually SafetyOne app users to let them know their completed mobile form has been received.

Previously, once a third-party completed a mobile form, they would receive a generic email confirmation with a link to their completed form.

This new feature allows SafetyOne administrators to tailor the confirmation email subject line and body text that is sent when those external third-parties submit a mobile form. And, this means the administrator can add specific content, adjust the messaging, and even apply custom styling to ensure that the communication aligns perfectly with their organization’s brand.

AB: I like that. And, it really elevates the communications that are sent out.

BK: Exactly! Custom confirmation emails ensure brand consistency when automated emails are sent to third-parties on our client’s behalf.

And, it’s important that when a third-party submits a form, the confirmation they receive has a clear and tailored message.

AB: I agree. It does add a level of professionalism when the automated response is customized to match the style of the organization.

So, we’ve talked a lot about the new feature, but will you give us some examples of when mobile forms might be used by a third-party; so, someone who doesn’t necessarily have the mobile app on their device?

BK: So, these forms can be used for a variety of external data collection by non-SafetyOne mobile app users for things like: providing daily status reports by a sub-contractor; daily caregiver reports who may scan a QR Code at the client’s home to document their progress; submitting a certificate of insurance by a sub-contractor who is sent a URL link where they can upload a PDF of the certificate; document visitors who need to sign-in at a facility or jobsite; check-out a company vehicle or piece of equipment; and documenting a witness statement after an incident. And these are just to name a few. There are really endless possibilities.

AB: I know. I feel like our clients are coming up with new uses for mobile forms every day.

So, is customizing these confirmation emails easy to do?

BK: Yes. So, this feature can easily be accessed and managed directly from the Settings menu within the mobile forms section of the administrator website. And, each mobile form’s confirmation email can be customized specifically for the data that is collected.

AB: Yeah, I’m excited for this feature as it really just adds that OneofOne® element to SafetyOne. And, it makes our clients look that much more professional when their vendors, sub-contractors, employees, and visitors receive a branded email versus a generic one.

BK: Right? And, it’s those major details that set us and our clients apart from the rest.
